PRIVACY NOTICE

Wild About Outdoors 

 

At Wild About Outdoors we respect the privacy of the children attending the Club and the privacy of their parents or carers. The personal information that we collect about you and your child is used only to provide appropriate care for them, maintain our service to you, and communicate with you effectively. Our lawful basis for processing the personal information relating to you and your child is so that we can fulfil our contract with you. Our legal condition for processing any health-related information that you provide about your child is so that we can provide appropriate care for that child.

 

Any information that you provide is kept secure. Data that is no longer required* is erased after your child has ceased attending our Club.We will use the contact details you give us to contact you via phone/ email, so that we can send you information about your child, our Club and other relevant news, and so that we can communicate with you regarding payment of our fees.

 

We will only share personal information about you or your child with another organisation if we:•have a safeguarding concern about your child:

​

•are required to by government bodies or law enforcement agencies

•engage a supplier to process data on our behalf (eg to take online bookings, or to issue invoices)

•have obtained your prior permission.

 

You have the right to ask to see the data that we have about yourself or your child, and to ask for any errors to be corrected. We will respond to all such requests within one month.

 

You can also ask for the data to be deleted, but note that:

 

•we will not be able to continue to care for your child if we do not have sufficient information about them

•even after your child has left our care, we have a statutory duty to retain some types of data for specific periods of time* so can’t delete everything immediately.

 

If you have a complaint about how we have kept your information secure, or how we have responded to a request to access, update or erase your data, you can refer us to the Information Commissioner’s Office (ICO).

 

* We do need to retain certain types of data (such as records of complaints, accidents, and attendance) for set periods of time after your child ceases to be in our care, but we delete as much personal data as we can as soon as possible.

TERMS AND CONDITIONS

1. Bookings:

 

Bookings made through Wild About Outdoors website will be confirmed via email, and completion of payment constitutes acceptance of these terms and conditions.

 

2. Payments:

 

We accept Paypal and credit and debit card payments only; no cash, cheques or American Express. All bookings must be paid in full at the time of booking to secure your child's place. Outstanding balances 14 days post attendance will be referred to a debt recovery agency.

3. Offers and Discounts:

 

The best available price will always be offered at the time of booking. Discounts cannot be combined, and they must be applied during the booking process. Discounts end at midnight on the advertised day and cannot be applied retrospectively.

 

4. Changing your booking:

 

You can move your dates within the same season with 72 hours' notice, subject to availability. If the current day price exceeds the original price paid, you will be charged the difference. Additional days can be added to your booking at the current price. Please contact our Team to discuss moving dates to another season, where the balance will be held in credit on your Wild About Outdoors account.

 

5. Cancellations:

 

If you provide at least 7 days' notice before the camp date(s) you wish to cancel, we will refund all monies paid, except for the deposit of £12 per child per day. No refund is available for cancellations made less than 7 days before the scheduled date(s).

 

6. Your Child’s Information:

 

It is the responsibility of the person making the booking to ensure that all details provided are accurate, particularly regarding each child's medical and emergency contact information. Failure to provide complete information may result in the child being prohibited from attending camp.

 

7. International Bookings:

 

Children booked from overseas are required to have a good level of spoken English for communication with leaders and other children. Upon arrival in the UK, we require a local telephone contact number and address in case of emergencies.

 

8. Special Requirements: We strive to accommodate children with specific needs or medical conditions within the camp environment. It is essential to inform us of any such conditions to discuss the best way to accommodate the child and consider any reasonable adjustments needed for full participation in camp activities.

 

9. Illness and First: AidChildren who are ill or infectious must remain home for the full duration of their ailment and 48 hours after the last symptom occurs. Medication will only be administered if prescribed by a doctor or health professional. In the event of an accident, first aid will be administered, and emergency services called if necessary.

 

10. Child Exclusion:We maintain a zero-tolerance policy on discrimination, bullying, and persistent poor behaviour. Parents may be asked to remove children from camp for the remainder of the day or season in severe cases, with no refund available. Exclusion due to illness may also occur, with parents expected to collect their child promptly.

 

11. Late Pick-up:

Children must be collected by 5 pm unless otherwise specified at the time of booking. A late pick-up fee of £15 per 15 minutes will be charged after 5 pm to cover additional staffing costs. Continual late pick-ups may result in refusal of future bookings.

 

12. Notice of Absence:

 

Parents must inform us promptly if a child will not be attending a scheduled camp day.13. Off-camp activitiesOptional excursions may be offered with the same level of care and supervision as on-site activities.

 

14. Programme and activities:

 

Occasional changes to venues, dates, or activities may occur due to unforeseen circumstances. Participants will be notified in advance whenever possible.

 

15. Personal Property:

 

Wild About Outdoors is not responsible for lost or damaged property. Unclaimed items will be held until the end of the season and then donated to charity.

 

16. Mobile Phones and Electronic Devices:  Mobile phones and electrical devices are prohibited on camp and will be secured if found until the end of the session.

 

17. InsuranceAll children in our care are covered by our Public Liability Insurance for added peace of mind.

 

18. Photography / FilmingParents have the option to opt-out of filming or photography of their child for promotional purposes. All media capture is done using company devices exclusively.

 

19. Parent Feedback / ComplaintsFeedback is valued and used to improve our services. Concerns should be raised with the Lead Activities Organiser, with escalation if necessary.

 

20. SafeguardingWe adhere to legal obligations regarding safeguarding, and any suspicions of child abuse or neglect will be investigated and reported as necessary.

22. Data ProtectionPersonal data collected during the booking process will be treated as confidential and used only for necessary communications. Consent for promotional communications will be requested during registration, with the option to unsubscribe at any time.
